Excel vs pagar karo
Excel is a great calculator. It is not a payroll system. Here’s where the difference shows — and how to switch without risk.
Quick answer
Switch from Excel to payroll software when you have more than about 15–20 staff, pay PF or ESI, have shifts or overtime, or when only one person understands the salary sheet. Run one month in parallel to prove the numbers before you stop using Excel.
| Excel & registers | pagar karo | |
|---|---|---|
| Attendance capture | Register or WhatsApp photos, copied by hand | Selfie + GPS punch, kiosk or biometric, synced instantly |
| Late marks & overtime | Worked out manually, often disputed | Calculated from shift rules, approved by managers |
| Salary calculation | Formulas that break when rows are added | One click with a trace for every line |
| PF, ESI, PT, TDS | Separate sheets and a calculator | Built in, with dated rates and registers |
| Rate changes (e.g. EPF ceiling) | Edit formulas and hope old months stay right | New rate from its start date; history untouched |
| Advances & loans | Notebook or a separate sheet | Recovered and deducted automatically |
| Payslips | Made one by one, if at all | On the staff app, PDF, email or WhatsApp |
| Who changed what | Unknown | Full audit log |
| Time per month (100 staff) | Typically 2–4 days | Usually under an hour once set up |
