Switching from Excel to Payroll Software: A 10-Step Checklist (With a Safe Parallel Run)
A practical checklist for moving payroll from Excel or registers to software mid-year: what data to collect, opening balances for leave, loans and TDS, and how to run one month in parallel.
Collect staff master data, salary structures, statutory numbers (UAN, ESI, PAN), opening leave balances, open loans and advances, and year-to-date earnings and TDS. Set up policies, import everything, then run one month in parallel with your old sheet and compare staff by staff. Switch only when every difference is explained — usually within one or two cycles.
- Mid-year is fine: year-to-date earnings and TDS make the tax projection right.
- Opening balances (leave, loans, advances) matter as much as salaries.
- Parallel-run at least one month and explain every difference.
- Get staff on the app early — attendance quality improves before payroll goes live.
Signs it’s time to move off Excel
- Payroll takes more than a day each month.
- Only one person understands the salary sheet.
- You pay PF or ESI, or have shifts and overtime.
- Staff regularly dispute attendance or deductions.
- You can’t answer “why is my salary lower this month?” in under a minute.
Step 1–4: Collect the data
| Data | Where it usually lives |
|---|---|
| Staff master (ID, name, mobile, joining date, department, location) | HR Excel |
| Bank, PAN, UAN, ESI numbers | Joining forms |
| Salary structures | Salary sheet columns |
| Leave balances | Register or leave sheet |
| Loans and advances outstanding | Accountant’s diary |
| Year-to-date salary, PF, TDS | Previous months’ sheets |
Step 5–6: Configure and import
Create templates for attendance (shifts, grace, overtime), leave and salary structures. Import staff and salaries in bulk; a good system rejects bad rows into an error file instead of importing half the sheet. Then spot-check ten people end to end.
Step 7: Start attendance on the app first
Attendance quality drives payroll quality. Start staff on the app a few weeks before payroll goes live, keep the register for a week, and approve exceptions daily.
Step 8–9: The parallel run
Process the same month in both systems and compare:
- Net pay per person (tolerance ₹1).
- Each component: Basic, HRA, overtime, PF, ESI, PT, TDS.
- Payable days and LOP.
Typical differences: rounding rules, the month basis (calendar vs 26 days), PF restricted vs actual, the 50% wage rule, and overtime pricing. Each should be either fixed or accepted as a deliberate improvement.
Step 10: Go live
- Lock the month, generate payslips and send them to the app.
- Export the bank file or record payments.
- Record PF, ESI, PT and TDS challans on the compliance calendar.
- Archive the Excel — read-only — for reference.
Frequently asked questions
How long does it take to move payroll to software?
For 50–200 staff, typically one to two weeks of setup plus one parallel month. Attendance on the app can start in the first week.
Can I switch in the middle of the financial year?
Yes. Enter year-to-date salary, PF and TDS so annual tax and statutory totals stay correct.
What is a payroll parallel run?
Running the same month in both the old method and the new software, then comparing results line by line. Differences show you configuration mistakes before they reach employees.
